POSITION OVERVIEW
We are looking for a detail-oriented and analytical Regional Administrator to support business growth through efficient stock management, financial oversight, administrative accuracy, and strict adherence to company policies and procedures. The ideal candidate will play a critical role in ensuring operational excellence by monitoring key financial, stock, and compliance metrics while providing valuable insights to the Regional Manager (RM).
KEY RESPONSIBILITY AREAS (KRAs)
1. Cash and Point of Sale Management
● Monitor and report concerns to the Regional Manager (RM) regarding:
○ Till shortages and cash-handling non-compliance.
○ Cash-up documentation, ensuring all required documents are submitted to Head Office.
○ Unposted recons and open till sessions.
○ Till and receiving overrides to prevent unauthorized transactions.
○ Main float procedures, ensuring weekly float counts are submitted to Head Office.
○ Petty cash payments and reimbursements, ensuring accuracy and compliance.
2. Stock Control & Management
Stock Counts
● Verify and report on stock count preparations and performance in alignment with company procedures.
● Coordinate stock takes in collaboration with the RM.
● Identify and follow up on stock discrepancies and deviations, communicating findings to the RM.
● Update scheduled stock count items after each count, ensuring alignment with branch systems.
● Conduct stock count training to enhance accuracy and efficiency.
● Monitor and report on compliance with scheduled stock counts and evaluate results.
● Ensure monthly stock take deviations are posted by branches within 36 hours.
3. Waste Management
● Gather branch write-off data for RM approval.
● Monitor and report on all waste-related write-offs.
● Collect and submit monthly stock loss action plans for evaluation and corrective action.
4. Administration & Compliance
● Ensure scheduling and schedule maintenance are completed by branches on time for RM approval.
● Monitor and report on branch pricing procedures daily to ensure accuracy.
● Oversee compliance with control registers, including:
○ Key control
○ Till float control
○ Credit note control
● Verify and maintain employee clocking records daily.
● Optimize weekend employee scheduling to align with demand and control costs.
● Ensure branches implement staff requests in accordance with budget constraints.
5. Analysis & Reporting
● Generate and analyze daily turnover reports, providing insights to the RM.
● Conduct monthly income statement reviews, identifying anomalies and reporting them to the RM.
● Run shrinkage reports as required, summarizing findings for the RM.
6. Sales Promotion Support
● Gather and analyze weekly branch price survey data, submitting findings to the RM for review and escalation to Buying.
● Monitor and report on outstanding in-branch orders to ensure timely fulfillment.
● Run regional service level reports and present anomalies to the RM for corrective action.
7. General Duties
● Assist with any reasonable requests from Executive Management, Directors, or Shareholders.
● Provide support during absences or crises in key operational areas.
● Ensure compliance with company standards, policies, and procedures at all times.
QUALIFICATIONS & REQUIREMENTS
Minimum Education:
● Grade 12 with Mathematics and Accounting.
● A relevant business management qualification will be an advantage.
Experience:
● A minimum of 5 years of experience in a similar trading environment.
● Extensive experience with financial reporting and documentation.
