POSITION OVERVIEW
Woermann Brock is a dynamic and growing organization committed to excellence. We value our employees and are seeking a detail-oriented Payroll Clerk to join our team. The successful candidate will be responsible for accurate and efficient payroll administration, including salary calculations, statutory deductions, and compliance with relevant regulations.
KEY RESPONSIBILITIES
1. Payroll Processing & Compliance
● Accurately process employee payroll in a timely manner.
● Maintain payroll records, ensuring compliance with labor laws and company policies.
● Manage employee data updates in the payroll system.
● Respond to payroll-related inquiries from employees.
● Assist in the preparation of payroll reports and audits.
● Process and submit monthly statutory returns, including:
○ PAYE
○ Social Security
○ Workmen’s Compensation
2. Employee Deductions & Benefits Administration
● Register new employees for Social Security and manage deductions for:
○ Pension funds
○ Medical aid
○ Loan repayments
● Process pension withdrawal forms for terminated employees.
● Reconcile taxes and Social Security contributions against active employees monthly.
● Submit Garnishee deductions in a timely manner.
● Prepare and submit monthly third-party deduction schedules before the 7th of each month.
● Reconcile and submit funeral cover (Bonlife) deductions.
3. Employee Attendance & Payroll Accuracy
● Receive and verify financial advance requests and staff grocery accounts for approval by the HR Operations Manager.
● Validate salary details and calculate approved salary adjustments.
● Run weekly actual vs. scheduled clock-in reports.
● Identify and report discrepancies to the Regional Managers.
● Confirm active employees and verify non-clock-ins and leave records with Branch/Unit Managers.
● Follow up on leave approvals and clock-in amendments.
● Verify salary submissions against payroll reports monthly.
● Check and reconcile variance reports and hours worked against payroll records.
● Compile and submit monthly salary files for final approval.
4. Administrative Support & Reporting
● Receive and submit:
○ Acknowledgment of Debt (AOD) for till shortages
○ Termination and appointment forms
● Process internal claims for outsourced payroll submissions.
● Ensure timely delivery of payslips to employees.
QUALIFICATIONS & REQUIREMENTS
Minimum Education:
● Grade 12 (High School Diploma) required.
● Associate’s degree in Accounting or Finance preferred.
Experience & Skills:
● Previous experience in payroll processing or a similar role.
● Proficiency in payroll software and MS Office Suite.
● Strong attention to detail and organizational skills.
● Excellent communication and problem-solving abilities.
