POSITION OVERVIEW

Woermann Brock is seeking a proactive and detail-oriented HR Office Administrator to support our Human Resources (HR) department. The successful candidate will be responsible for recruitment, selection, and HR administration duties while ensuring efficient documentation flow related to recruitment, job descriptions, leave applications, personnel files, manpower statistics, and other HR processes.

KEY RESPONSIBILITIES

1. Recruitment & Selection

       Assist in the recruitment process, including job postings and interview scheduling.

       Receive and verify vacancy request forms, ensuring completeness and accuracy.

       Shortlist A and B Band applications by reviewing CVs and submitting them to the Manager: HR Operations.

       Ensure all application documentation is complete and correctly submitted.

       Verify appointment and notification documents of successful candidates.

       Facilitate a smooth onboarding process for new employees by coordinating with Regional, Branch, and Unit Managers.

       Issue regret letters to internal applicants before appointing an external candidate.

2. HR Administration & Employee Records

       Manage the documentation flow for job descriptions, job evaluations, housing applications, and personnel files.

       Process and track Special Performance Appraisal (SPA) forms, assisting Regional, Branch, and Unit Managers as required.

       Maintain a comprehensive SPA tracking list, updating it with outstanding and received SPAs per branch or business unit.

       Ensure that all employees sign job descriptions, confirming adequate training during probation before permanent appointments are finalized.

       Enter all appointments, dismissals, retirements, and resignations into HR statistics records.

       Prepare employment contracts, transfers, and promotion letters for signature by the HR Executive.

       Coordinate status change forms to process promotions and transfers, ensuring appropriate approvals.

3. Employee Relations & HR Policy Compliance

       Advise supervisors and managers on the correct completion of HR forms.

       Conduct screening and testing procedures as required by company policies.

       Communicate and ensure adherence to HR policies and procedures effectively.

4. Payroll & Benefits Support

       Support payroll processing, ensuring the accuracy of employee timesheets.

       Assist in benefits administration, including processing inquiries related to leave, medical aid, and other employee benefits.

QUALIFICATIONS & REQUIREMENTS

Minimum Education:

       Grade 12 (High School Diploma) or equivalent.

       Additional HR certification is an advantage.

Experience & Skills:

       Previous experience in HR administration or a related field is preferred.

       Strong organizational and time-management skills.

       Proficiency in Microsoft Office and HR software.

       Excellent communication and interpersonal skills.
