VACANCY: HR OFFICE ADMINSTRATOR
LOCATION: HEAD OFFICE (WHK)
OVERALL AIM AND SUMMARY OF JOB
Perform functional Recruitment, Selection and Human Resources Administration duties for the allocated responsibility area. Responsible for the documentation flow through the department in respect of recruitment and selection, job descriptions, housing applications, job evaluation, leave applications, personnel files, manpower statistics etc.
Key Responsibilities:
Assist in the recruitment process, including job postings and interview scheduling.
Facilitate onboarding for new employees.
Support payroll processing and ensure accuracy of timesheets.
Provide assistance with benefits administration and employee inquiries.
Help communicate HR policies and procedures effectively.
Receive request to fill vacancy form as approved and ensure that it is correctly completed.
Shortlist A and B Band applications by scrutinizing all CVs received and send to the Manager: HR Operations.
Ensure that relevant documentation is attached to applications and that they are correctly completed.
Check Appointment/Notification documentation of the successful candidates for completeness and correctness.
Ensure that successful A and B Band applicants’ entrance in the Company pertaining to the documentation is smooth as per policy by working with Regional/Branch/Unit Managers in this regard.
Issue regret letters to internal unsuccessful applicants before an external applicant is appointed.
Administer the completion of Special Performance Appraisal (SPA) forms and assist Regional/Branch/Unit Managers in this regard.
Follow up on SPA forms on a monthly basis by keeping a comprehensive list of the SPAs outstanding and those received per Branch/Business Unit, and update the list
When working through an SPA, ensure that every employee has signed a job description confirming that they were adequately trained during the probation period. (Without this, no permanent appointment may be made)
Enter all appointments, dismissals, retirements and resignations of staff on HR Stats.
Prepare contracts, transfers and promotion letters for signature by the HR Executive.
Co-ordinate the document flow surrounding the change in status form for approval by Regional/Branch/Unit Manager to effect promotions and transfers.
Advise supervisors and managers on the correct completion of HR forms.
Conduct screening and testing procedures as are required within company policies.
Qualifications:
High school diploma or equivalent; additional HR certification is a plus.
Previous experience in HR or administration is preferred.
Strong organizational and time-management skills.
Proficient in Microsoft Office and HR software.
Excellent communication and interpersonal skills.
